Choosing the right copier machine, especially if it is to be used in the office, can be more challenging than most shoppers think.
To begin with, you must answer a few basic questions, like monthly volume, color, speed, and network connectivity, before you settle on a specific machine.
If you skip this tedious but essential step, you may find yourself with a copier that does not meet your company’s needs.
Worse yet, your boss will undoubtedly have a bone to pick with you if you waste company funds on the wrong copier machine because you were too lazy to do some research.

When it comes to copier machines, like many high-tech devices, manufacturers tend to over load them with impressive-sounding but ultimately useless features that consumers end up paying through the nose for.
That is why it is incumbent on you to find out what your company really needs and to spot an overpriced machine when you see one.
After you know exactly what you need in a copier machine, it is important that you make a list and narrow your options a bit. Ideally, shoppers should focus on two or three models and then try out or test-drive those units.
All you have to do is ask the dealer to bring the copier machine in for a demo. Since most office models are quite expensive, especially the digital ones, the dealer should have no compunction about performing an in-house demonstration.
You should also ask that the copier be connected to your network so that you can see exactly how the copier machine operates.
If, by chance, an in-house demonstration cannot be performed, make certain that you complete a thorough examination at the store. One of the most important things to ensure is that the machine works well with the paper that is used in your office.
For example, if you use 110-pound cover stock, run a few dozen sheets through the machine to determine the output speed.
Though this may sound specific, you certainly don’t have to be a copier machine expert to evaluate how well these machines work or how they handle common business tasks and applications.
Another extremely important deciding factor is the color of the machine. Many shoppers make the mistake of assuming that all digital or color copiers have generally the same picture quality. Well, that is simply not the case. The fact is that copier color ranges from subtle variations to night and day differences.
Probably the most effective way to professionally and equivocally evaluate color is to take a few samples of work that was outsourced to a professional printing company and compare with the picture quality of the copier machine that you are interested in.
If there is a significant discrepancy in picture quality, you should move on to another machine.
Lastly, you will want to examine the feeders. A copier machine that is going to be used in the office should and must have an automatic document feeder.
This feature gives users the ability to copy multi-page documents without having to continually life the lid for every sheet. The best machines give users the option of inserting a sheaf of at least fifty sheets that can be copied without pause.
